Privacy policy

What information we collect, how we use it, who we share it with, and the choices you have. Written in plain words on purpose.

“ZyloFuel”, “we”, and “us” means 18139326 Canada Corp., doing business as Zylo Fuel, of 24 Gainsborough Rd, Brampton, ON L6S 1X1.

This policy covers our website (zylofuel.com), our customer portal (cards.zylofuel.com), our applications, and our fuel card program.

1. What we collect

Business and account information
When you apply for an account: your company’s legal name, registration and authority numbers, address, contact details, fleet size, and the documents you provide with your application.
Banking information
Your bank account details for pre-authorized debit payments. This information is stored encrypted. Access is restricted to the authorized support staff who enter and manage it when setting up your account — no one else, including our developers, can access it.
Personal information of owners and guarantors
For credit accounts and guarantees: names, contact details, date of birth, and credit information of the business owners and any guarantors — collected with their consent.
Credit information
With consent, we obtain and exchange credit information about the business and its guarantors with credit bureaus, credit reporting agencies, references, and our program partners — at application and on an ongoing basis while the account is open or any amount is owing.
Transaction information
Every card transaction: card number, driver and vehicle identifiers, location, product, quantity, price, date, and time. This is the core data of a fuel card program — we receive it from the card network and fuel suppliers to run your account, bill you, and detect fraud.
App and device information
When your drivers use our applications: login credentials, device information, and — for features like card unlocking and finding nearby fuel locations — the device’s location while the feature is in use.
Website information
Standard website data: pages visited, browser type, IP address, and cookies (section 10).

2. How we use it

We use information to: verify your business and assess credit; open and manage your account; process transactions and billing; send prices, invoices, alerts, and account notices; detect and prevent fraud and misuse; enforce our agreements and collect amounts owing; improve our services; and meet legal requirements.

3. Who we share it with

We share information only as needed to run the program:

  • Service providers who operate and support our portal, applications, and program on our behalf.
  • Our program partners and the card network — the upstream companies whose card infrastructure and fuel supply arrangements our program runs on. Transaction data flows between us and them as part of every card transaction.
  • Fuel suppliers and merchants, in connection with transactions at their locations.
  • Payment processors and financial institutions, to process pre-authorized debits and payments.
  • Credit bureaus and credit reporting agencies, with consent, for credit assessment and reporting, including reporting of defaults.
  • Collection agencies and legal counsel, if an account goes unpaid.
  • Authorities, where the law requires us to.

We do not sell personal information.

4. Drivers and your responsibilities

If you give your drivers or employees access to our cards or applications, you are responsible for telling them what information is collected (including location while using app features) and making sure you have the right to provide their information to us. We process driver information on your behalf to run your account.

5. Location information

Location is used only while an app feature needs it: confirming a driver is at your truck to unlock a card, or showing fuel locations near the driver. We do not use app location data to track drivers outside these features.

6. Marketing messages

Operational messages — invoices, price notices, alerts, account and default notices — are part of the service and are sent to your registered contacts regardless of marketing preferences.

Marketing messages are different: we send them only with express consent (the optional checkbox at sign-up), and every message includes an unsubscribe option. Withdrawing marketing consent never affects your service.

7. Where information is stored

Information may be stored and processed in Canada and/or the United States by us and our service providers. While information is outside Canada, it is subject to the laws of that country, and courts and authorities there may be able to access it under those laws.

8. How we protect it

We and our service providers maintain security programs designed to protect information against loss, theft, and unauthorized access — including access controls, encryption in transit, and monitoring.

Sensitive financial information, including bank account details, is stored encrypted with access restricted to the authorized staff who need it to set up and manage your payments. No system is perfectly secure; you are responsible for keeping your own credentials confidential and your devices protected.

9. How long we keep it

We keep information as long as needed to run your account, meet legal and tax record requirements, resolve disputes, and enforce agreements — then we securely delete or anonymize it. Transaction and billing records are kept for the periods required by tax law.

10. Cookies

Our website uses cookies for sign-in, security, and understanding how the site is used. You can control cookies through your browser settings; some portal features need them to work.

11. Your rights

You may ask to see the personal information we hold about you, ask us to correct it, or withdraw consent (subject to legal and contractual limits — for example, we cannot run a credit account without credit information). We respond to access requests within the time required by law.

12. Changes to this policy

We may update this policy from time to time. We will post the updated version at this address with a new “last updated” date, and notify you of material changes by email or portal notice.
